We are seeking a dynamic individual to join our team as a Departmental Secretary. In this role, you will play a crucial part in ensuring the smooth operation of the department by providing comprehensive administrative support.

 

Job Responsibilities:

 

As a Departmental Secretary at Eldib & Co Attorneys at Law your responsibilities will include:

 

1. Provide general administrative support, including photocopying, scanning, faxing, and filing.

 

2. Prepare and distribute correspondence, memos, reports, and other documents as required.

 

3. Organize and maintain physical and electronic files and records, ensuring easy retrieval and confidentiality.

 

4. Compile and analyze data, prepare reports, and create presentations as requested.

 

5. Act as a liaison between the department and other internal and external stakeholders, ensuring effective communication and collaboration.

 

6. Coordinate and track departmental expenses and process invoices.

 

7. Conduct research and gather information to support departmental projects and initiatives.

 

8. Collaborate with other administrative staff to ensure smooth operations and effective cross-departmental communication.

 

9. Handle incoming calls and inquiries, providing accurate information and redirecting calls when necessary.

 

10. Assist in preparing presentations, meeting agendas, and meeting minutes.

 

Qualifications:

 

1. Bachelor’s degree in a relevant field is preferred.

 

2. Proven experience as a secretary or administrative assistant.

 

3. Fluent in English, with excellent verbal and written communication skills.

 

4. Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

 

5. Strong organizational skills with the ability to prioritize tasks and manage time effectively.

 

6. Attention to detail and high level of accuracy in work.

 

7. Excellent interpersonal skills and the ability to work well with individuals at all levels.

 

8. Professional demeanor and the ability to maintain confidentiality.

 

9. Ability to handle sensitive and confidential information with integrity.

 

10. Strong problem-solving and decision-making abilities.

 

11. Flexibility to adapt to changing priorities and work well under pressure.

 

12. Strong work ethic and a proactive approach to work.
